Your volunteer sheet already has the hours

Most programmes keep a rota or sign-in sheet of who helped and for how long. Upload it once and every certificate prints that person’s own total, checked before anything is printed or sent.

  1. Upload the volunteer list

    Export your rota or sign-in spreadsheet as .xlsx or .csv: one row per volunteer, with columns for name, role, hours and email.

  2. Point Hours at the hours line

    Certale matches Volunteer, Role and Hours to the design. Each certificate then reads its own figure, whether that is 6 hours or 600.

  3. Review the flagged rows

    Blank hours and missing emails are flagged. Anyone marked Under 18 is locked out of public sharing before the batch is made.

  4. Hand out, send, or both

    Print the batch for your thank-you evening, then share the digital copies so volunteers can keep and use them.

Volunteer certificate questions

How do I make certificates for all our volunteers at once?

Pick a design, add your logo and the coordinator’s signature, then upload your volunteer list as an Excel or CSV file with columns for name, role and hours. Certale makes one certificate per row and flags gaps such as blank hours. Download the whole batch for printing, or email each volunteer on Business.

Can a volunteer certificate show the hours someone gave?

Yes. Map the Hours column in your sheet to the hours line on the design, and each certificate prints that volunteer’s own total, such as “120 hours of service”. Rows without recorded hours can use a line that names the role or the event instead.

Can volunteers use the certificate as a reference for jobs or university?

Yes. The QR code and short link open a story page showing your organisation as the issuer, with the role, hours and date. An employer or admissions tutor can confirm it in seconds, free and without an account. On Business, a verified-issuer badge shows that Certale has checked your email domain.

Is Certale free for charities and small volunteer groups?

The Free plan is $0 forever. It includes unlimited single certificates (PDF and PNG), QR story pages, verification and sharing, and Bulk from Excel, 25 names a month. Free certificates carry a small “Made with Certale” credit. If you thank more than 25 volunteers in a month, Pro is $9 a month with Bulk from Excel, 300 names a month.

How are certificates for volunteers under 18 handled?

Mark them in an Under 18 column. Their story pages can be Private (QR code only) or Shareable (by private link), but never Public: they never appear on the Wall of Tales and are hidden from search engines. Nobody, including the volunteer or your team, can switch that on.

Can we give certificates in our volunteers’ own languages?

Yes. Certale works in 20 languages, including Arabic written right to left with its own native designs. Issue the same design as a second batch in another language, so every volunteer gets a certificate their family can read too.

Should we print volunteer certificates or send them digitally?

Both, ideally. A printed certificate gives you something to hand over at the appreciation evening; the digital copy lets volunteers share it and keep it on their Certale shelf. The QR code on paper opens the same story page as the link.

What should a volunteer certificate of appreciation say?

Your organisation’s name, the volunteer’s name, their role, the hours or dates they gave, one line on what their time made possible, the date and the coordinator’s signature. The wording examples above cover appreciation, hours served, events, long service, youth volunteers and Arabic.
